2002-2003 Blach Chairperson Communication
Guidelines
Although each committee has
a unique set of goals and responsibilities, there are several
common procedures to enhance communication for all chairpersons
at Blach. Our goal is to stay well connected with all committee
chairpeople. One way to accomplish this goal is to keep an open
line of communication.
On the first day of school please attend the committee chair meeting
at 10am following the Back to School coffee or send the following
information to the 2nd VPs, Denise Fritzley or Pam Lytle:
- who is the contact
point for the committee
- which PTA meetings
you are planning to present a committee report (if it's a one
time event, the meeting before and after the event)
- whether or not
you have received information from previous committee chairs
Shortly after school begins,
you will get a list of volunteers for your committee generated
by the Volunteer Request Form in the Back to School Banner
from the 2nd VPs. Please contact those volunteers once you get
your listing to let the volunteers know when their help is needed.
If you do not need their help, please thank them for offering.
Whether your committee hosts an event or your committee is on-going,
please use the following guidelines for communicating information
about your committee to the student body as well as to current
and future Blach PTAs:
- If you need to
publicize your event or committee activities, please write an
article for the Banner and send it to Jane Clayton and Michelle
Reichert. Articles are generally due on the 15th of the month
prior to publication.
- A representative
from your committee should attend the PTA meeting one month before
and after an event, or when your committee is particularly active,
to report on the status. Please e-mail Judy Snow ( snow@blachschool.org
) before the meeting, so time can be allocated on the PTA meeting
agenda.
- Hanging folders
are provided for communication to each committee in the office,
across from the main counter. Please check your folder periodically.
- PTA rules state
that the PTA president should be invited to committee meetings
and should also approve any changes to the procedures in a committee.
This is for coordination with other parts of PTA. Also, if you
have any questions, please feel free to call either of the co-presidents,
Judy Snow or Carol Greenberg.
- Please provide
a list of volunteers to be thanked in the Banner to the 1st VP,
Lori Johnson by the 10th of the month.
- Please turn in
any receipts with a reimbursement request form to the treasurer,
Isabel Schreier. A form is provided in her hanging folder in
the office. This is also where you turn them in.
- Report committee
volunteer hours (in addition to your personal hours) to the Historian,
Wendy Gibson when hours are incurred away from school or when
the visitor sign-in log in the office is not accessible.
- Keep detailed information/records
to pass on to next year's chairperson. We can provide you with
a binder if there isn't one already. This will make the yearly
transitions go much smoother. Included in this binder is an End
of Event/ End of Year report. If you do not have a blank copy
of the Blach form for the reports, you can get a blank one on
our webpage, www.blachschool.org. A copy of the final report also
goes to the 2nd VPs, Pam Lytle or Denise Fritzley.
